Get ahead of certification expiration dates.

A folder of card photos is useful evidence. A repeatable review routine makes that evidence easier to keep current. Put the record, the next relevant date, and the follow-up owner in one place.

Start with a consistent credential record

For each record, capture the worker, credential name, issuer or training provider, issue date, and any expiration date shown. Keep front and back images together when both contain useful details.

Do not invent an expiration date for a card that does not show one. Confirm applicable renewal or refresher requirements with the issuer, employer, or site before setting a reminder.

Keep three dates separate

The date on the credential
The expiration or validity date actually stated by the issuer, when one exists.
The date the job needs it
The assignment or site-access date when the worker will need to present acceptable proof.
The date to take action
An internal reminder early enough to arrange training, collect updated evidence, and resolve questions.

This distinction keeps an internal reminder from being mistaken for an issuer's expiration date.

Assign the next action

Decide who will book training, contact the issuer, collect the replacement record, or review the evidence. Choose reminder lead times that reflect scheduling and your company's requirements.

For example, your team might review upcoming renewals weekly and again before assigning a crew. The right cadence depends on the work, the training schedule, and the records involved.

Review what is missing as well as what is expiring

An unexpired record is not automatically the right record for every assignment. Compare the records available with the company or site requirements and flag missing information for follow-up.

Keep worker-provided proof distinguishable from records the company adds. Record who reviewed it and resolve uncertainty with the appropriate issuer or site contact.

Share the evidence that is needed
