A useful daily report tells the next person what happened, where it happened, and what needs attention. Start with a consistent structure, then add the details your project requires.

What to include in a daily field report

Project and shift
Record the project, location, date, shift, report author, and contractor responsible for the work.
Crew and hours
List the crew or trades present and hours worked. Identify which work area each entry belongs to.
Work completed
Describe the actual work, location, and quantity where measured. Separate completed work from planned work.
Materials and equipment
Record materials used, quantities and units, deliveries, and equipment issues relevant to the shift.
Safety and interruptions
Include observed conditions, delays, and actions taken. Record facts and follow your company's separate incident-reporting process when required.
Photos and follow-up
Label photos with their location and subject. Record open questions, the person responsible, and the next action.

For refractory and industrial work

Use the work-area field to identify the unit, vessel, furnace, or repair area. Where relevant, record the product designation, material quantity and unit, installation activity, and any measured conditions in the applicable project record.

Keep project-specific quality records alongside the daily report. A general daily template is a starting point; it does not replace the customer's reporting requirements, inspection forms, or approved work procedures.

Replace vague notes with a useful handoff

Too vague: “Worked on repairs. Used material. Delay.”

More useful: “North wall repair area: completed the section marked on drawing R-12. Recorded material quantities in the usage log. Access was unavailable from 10:00–10:30; the superintendent was notified. Photos 03–05 show the completed area.”

Illustrative wording, not a customer report.

A simple end-of-shift routine

  1. Capture the details while the work is fresh.
  2. Check names, dates, quantities, units, and photo references.
  3. Separate observations from assumptions and identify unfinished work.
  4. Send the report through the agreed company channel and retain a copy in the project record.
